Export your data

Get a copy of your account's data, prepared in the background and delivered by a secure private link.

Before you start

  • You need to be an account owner or admin.
  • The export is built for you, so it can take a little while for a large account. You do not need to wait on the page.

Steps

  1. Open Settings from the menu and find Export your data.
  2. Choose Request export. Wealthru prepares it in the background.
  3. When it is ready, you get a secure private link by email. Open it to download your data.

What is in it

A zip of CSV and JSON files, one per kind of record:

  • Your properties, units, tenants and leases.
  • Your money: charges, payments, deposits, expenses, the general ledger, a trial balance for every year your books have activity in, and the permanent record of every money change.
  • Your operations: repair requests with their comments and history, inspections, applications and applicants, notices to vacate, listing enquiries, messages and their attachments.
  • Your consent records, which are the proof of who agreed to receive commercial email and text messages, and when.
  • Your audit trail as activity.csv, the full record of who changed what and when.
  • Your archived audit years. The Audit log page holds the last two years and everything older is moved to long-term storage. Those older records travel inside the export too, in a folder called activity-archive, with activity-archive-index.csv listing every period we hold.
  • Your documents, both the list and the files themselves.

Getting a record from more than two years ago

Request an export. That is the route. The Audit log page only searches the last two years, so an export is how you reach the rest, and you do not need to ask anyone for it.

What each status means

  • Preparing. We are building it. Large accounts take longer, and you do not need to stay on the page.
  • Ready, link emailed. The archive is built and the secure link is in your inbox.
  • Ready, link not sent yet. The archive is built, but no email went out. This happens when the first attempt stopped part way through and our recovery finished the job in the background, which cannot send you a link. Choose Email me the link and we will send a fresh one.
  • Did not finish. Something went wrong while building it. Choose Try again and we will build it from scratch. Your earlier link stops working, which is deliberate.
  • Expired. The 15 day window has closed. Request a new export.

Good to know

  • The link is single purpose and time limited, so it expires after about 15 days. Download your file before then.
  • The export reflects your account's records at the time it was built.
  • Sign-in passwords, session tokens and one-time links are never copied into the file. They are credentials, not records, and a copy travelling by email would be a risk with no benefit.
  • A very large account can reach a size limit. If that happens the file says so, in the last line of activity.csv or in the archive index, and tells you what to do next. Nothing is left out silently.

Troubleshooting

  • The link expired. Start a new export and use the fresh link.
  • It says "Ready, link not sent yet". Choose Email me the link. Nothing is wrong with the archive, we just could not send you the link the first time.
  • It says "Did not finish". Choose Try again. If it keeps failing, tell us, because a very large account can hit the size limit described above.
  • It has said "Preparing" for hours. It should not. We check every hour for a build that stopped and either finish it or mark it as not finished so you can retry.
  • The file looks incomplete. Open README.txt first. It lists every file in the archive with a count, so an empty file means we hold nothing of that kind rather than that something went missing.
