End a tenancy and close it out

Wind a tenancy down with one guided flow that records the move-out, the condition report, the deposit settlement and the final statement, then archives the lease.

Before you start

• You need to be a property manager, account owner, or admin.
• Open the lease from Leases and choose Start move-out.
• Nothing is deleted by this flow. Archiving keeps every record for your history.

The five steps

The flow shows a step for each part of a wind-down. A step is ticked only when your records actually show it done, so the ticks tell you what is left rather than where you have clicked.

1. Give notice. Record notice to end the tenancy, then confirm the tenant has moved out once the keys are back. Both are recorded on the lease.
2. Move-out inspection. Walk the unit and record each area with photos, then use Compare to move-in to see what changed. This step ticks once the tenant has signed the report.
3. Settle deposit. Itemize any deductions, then mark the deposit settled. If the lease never held a deposit there is nothing to return and you can mark it settled straight away.
4. Final statement. Review the rent ledger and export it for your records and the tenant's. This step ticks when nothing is outstanding either way.
5. Close tenancy. Archive the lease. Its records stay for your history.

If you cannot close yet

The close step lists every step still open and takes you straight to it. A tenancy can only be archived once the deposit is marked settled, and the deposit can only be settled once you have confirmed the tenant has moved out, so those two are the usual answer.

Starting over on a lease you entered by mistake

Do not use this flow for that. A tenancy that should never have been recorded has its own route, which does not pretend notice was served on a tenant who was never there. See Fix a tenancy entered by mistake.

There is still no delete for a tenancy, on purpose. Rent, deposits and ledger entries are financial records, so Wealtharu corrects them by reversal rather than erasing them.

What happens next

• The lease moves to its final stage and leaves your active tenancies.
• The condition report, the deposit settlement and the statement stay attached to the lease.
• If you need it back, see Reopen a finished tenancy.

Troubleshooting

• The close step says a step is still open. Use the link it shows. It jumps to the exact step that clears the block.
• Settlement shows no action. The tenant has not been confirmed moved out yet. The step says so and links back to the notice step.
• A rent charge was wrong. Reverse it from the lease Money tab. The reversal keeps the original charge and shows it as reversed, so the statement still tells you what happened.
