Add a co-tenant to a tenancy

Most rentals have more than one tenant. A couple, two friends, a family. Everyone named on the lease is a tenant, and Wealthru records all of them on the tenancy so the paperwork matches real life.

What being on a tenancy means

Everyone on a tenancy is treated as a tenant, not as a note in a file:

  • They are named on the lease agreement Wealthru generates, and each of them gets their own place to sign it.
  • When you send the lease for signing, each of them gets their own signing link.
  • They get the notices about the tenancy: rent due, rent overdue, a payment that did not go through, a returned payment, the deposit settlement, a rent increase, a renewal offer, a lease ending, and repair updates.
  • They can use the tenant portal: their own view of the tenancy, the balance, the documents and the payment history, and they can pay rent, report a repair and download receipts and rent statements.

One of them is the primary tenant. That is who the rent account is in the name of. The tenancy has one rent account, one balance and one statement no matter how many people are on it, because rent on a joint tenancy is owed by everyone together.

See who is on a tenancy

  1. Go to Leases and open the tenancy.
  2. On the Overview tab, find People on this tenancy.

Each person shows their name, their contact details, whether they are the primary tenant or a co-tenant, and whether they have signed in to the tenant portal yet.

Add a co-tenant

The person has to be in your tenant list first. If they are not, add them under Tenants, then come back.

  1. Open the tenancy and find People on this tenancy.
  2. Under Add a co-tenant, choose them from the list.
  3. Choose Add to tenancy.

They appear straight away as a co-tenant. From then on they are named on the agreement, they are asked to sign it, and they get the notices.

If you have already sent the lease for signing, send it again so the new co-tenant gets their own link. Anyone who has already signed is not asked twice.

Change the primary tenant

  1. Find the person in People on this tenancy and choose Make primary.
  2. Confirm.

Statements and receipts are issued in the new primary tenant's name from then on. Nothing already recorded changes, and the balance stays exactly where it was, because the rent account belongs to the tenancy rather than to one person.

Remove a co-tenant

  1. Find them in People on this tenancy and choose Remove.
  2. Confirm.

They stay in your tenant list, and they stop seeing the tenancy in their portal.

Two cases are refused, and Wealthru tells you which one it is:

  • The primary tenant cannot be removed. Make somebody else the primary tenant first.
  • Someone who has signed the lease cannot be removed. Their signature is a record of what they agreed to. If the people on the tenancy have really changed, re-issue the lease for signing rather than erasing a signer.

A closed tenancy can no longer be changed. The people on it are still listed, so the record stays readable.

Co-applicants become co-tenants

When you approve an application and turn it into a tenancy, everyone the applicant named comes with it. Each co-applicant becomes a tenant record, each of them with an email address gets a portal invite, and they all land on the tenancy the move-in setup creates. You do not have to add them by hand.

Renewals keep everyone

Renewing a tenancy carries all of its people onto the new term, with the same primary tenant. You do not need to re-add anyone.

Good to know

  • Two people who share one email address are both named on the tenancy and both on the agreement. They share one sign-in and get one copy of each notice, because one address is one inbox.
  • Someone with no email address can still be a co-tenant. They are named on the agreement, but they cannot be sent a signing link or a portal invite until you add an email for them.
  • Your tenant list is separate from your tenancies. Removing somebody from a tenancy never deletes their tenant record, and a tenant who is on a live tenancy cannot be deleted at all.
