Record the keys and fobs you hand over

Record which keys, fobs and remotes you handed the tenant at move-in, and which came back at move-out. Both parties sign, so a later argument about a missing garage remote has an agreed starting point instead of two memories.

What you need first

Nothing to turn on and nothing to upload. If you are holding a refundable key deposit on the tenancy, Wealthru fills the amount in for you from the deposit record.

Issue the devices at move-in

1. Open the lease and go to Documents and signing.
2. Scroll to Key / fob / access-device receipt.
3. Leave Issue at move-in selected.
4. Set the handover date, list what you handed over, and give the total count.
5. Choose Generate issue receipt.

The receipt goes to the tenant and to you for signature. When both have signed it is filed on the lease like any other document.

Write the list the way you would say it out loud. "2 keys, 2 mailbox keys, 2 fobs" is better than "keys and fobs", because the point of the record is that it is specific.

Record the return at move-out

Pick Return at move-out instead, then set the return date, list what came back, and describe the condition. Wealthru fills in what is happening to any key deposit from the deposit record, so the receipt and your books cannot disagree.

Check your provincial rules before you hold back any part of a deposit. Wealthru records what you decided, it does not decide it for you.

If the property has no unit number

A condo, a house or any property with a single home has no unit number to give, and that is fine. The receipt names the home as the whole property followed by the property name, which is the right description of what you handed the keys to.

Notes

• The receipt is a record of a handover, not a change to the tenancy. Generating one does not move the lease stage or touch the deposit itself.
• Generate as many as you need. A mid-tenancy replacement key gets its own issue receipt.
